Section 1 of 7

The site

Key figures for the space calculation. Approximate values are fine.

An approximate number is fine.

people

Rented office space, excluding storage and production. An approximate number is fine.

m²
How many desks are there relative to the number of employees?
How many of them are on site on a normal Tuesday?
How many sites should be included in the end?
In what form are the floor plans available?

Booking requires a clean floor plan image for each floor. Desks, rooms and parking spaces are created from it.

What should change at this site?

Multiple answers possible. The goals determine the order of the rollout.

Section 2 of 7

Desks

How a desk is found, confirmed and displayed.

How does an employee find a free desk today?
How are desks allocated?
What desk-sharing ratio are you aiming for?

Desks per employee. 100 % means everyone has their own desk. 70 % means seven desks for ten employees.

40 %70 %100 %

Desks per employee. 70 % means: 100 employees share 70 desks.

Do employees know in advance when their team is on site?
Should teams get their own area (home zone)?

A team then books a zone rather than a single desk and sits together.

Is it known which teams or departments work closely together?

Those who often work together should sit close to each other. This determines the layout of zones and floors.

Should certain roles or groups only be allowed to book certain desks, rooms or parking spaces?

For example parking spaces for the management, a lab only for the specialist department or rooms only for managers.

How should it be confirmed that a booked desk is being used?
Should every desk have a QR code sticker for checking in?

A sticker with QR code and NFC. No device, no drilling, no power.

Should you be able to see at the desk itself whether it is free?
What distinguishes the desks from one another?

Multiple answers possible.

Section 3 of 7

Rooms and quiet spaces

Meeting rooms, phone booths and quiet spaces.

How many meeting rooms does the site have?
How are rooms booked today?
How often is a booked room left empty?
Should meeting rooms get booking displays?
What is booked together with a room?

Multiple answers possible.

Where do employees make calls or dictate without disturbing others?
Where does a fault go, such as a broken screen in a room?
Section 4 of 7

Visitors

From appointment to reception.

How many visitors come per week?
How are visitors registered today?
Is reception permanently staffed?
Do visitors wear a badge or name tag?
Should the visitor badge also open doors?
Section 5 of 7

Parking

Parking spaces, charging stations and barrier.

Is parking an issue for you?
Are there fixed parking spaces, for example for company cars or people with severe disabilities?
Should charging stations, barriers or licence plate recognition be integrated?
Section 6 of 7

Measurement and operations

Sign-in, calendar, responsibilities and measurement.

Do you know how much of your space is used on a normal Tuesday?
How could attendance be measured?

Multiple answers possible. We ask about Wi-Fi separately.

What does your organisation work with day to day?
Should employees sign in with their Microsoft account?

Sign-in via Microsoft Entra ID. New colleagues are created automatically, leavers removed automatically.

Should booking take place directly in Microsoft Teams?
How do employees sign in to company applications?
Is there site-wide, centrally managed Wi-Fi?
Should indoor air also be measured, i.e. CO₂, temperature and humidity?
Who decides on desks and rules at this site?
Are employees surveyed about their working environment?
Section 7 of 7

Data protection and co-determination

What is visible, what is analysed and where the data is stored.

Is there a works council?
Should colleagues see who sits at which desk?
What should occupancy analyses refer to?
Where must the data be stored?
Is the data protection officer involved?

Unanswered questions may stay open; the profile then shows what is missing. Fields marked * are required.

Shortcut

Shortcut: pilot directly

You already know your requirements or want to try GoBright first? Then we start directly with phase 3: one floor, the floor plan of that floor, setup and training. The pilot measures occupancy itself; the Site Check and measurement can be done at any time later.

About IMPRODO

Hands-on. From Site Check to ongoing operation.

We advise on workplace management because we implement it ourselves: we measure the starting point, digitise the floor plan, set up GoBright on site and stay until it works in everyday practice.

“Workplace management rarely fails because of the software. It fails when nobody measures beforehand and nobody stays on site afterwards until it works.”
